We want you to understand what happens to your personal information when you use Sullivan Tutor Academy. This page explains some of the ways we use information about our students and parents.

1. Information about students
Our tutoring services are used by students who may be under 18, so we take particular care with information about students.
When you take part in our courses, we may keep information such as your name, year group, course enrolment, lessons completed, course progress, quiz attempts and results, scores, assignments and other information created while using our online learning platform.
Students can create an account on our website to access their course materials and resources. We use their account and learning information to provide and manage the course.
We do not normally ask students or parents for information about medical conditions, disabilities, learning difficulties or other sensitive information. However, a parent or student may choose to tell us about something that could help us support the student. If this happens, we will treat the information carefully and only use it when we have a proper reason to do so.
2. How we use learning information
We use information about a student’s progress and results to provide and improve their learning experience.
For example, we may look at course progress, quiz results, and assignments to see how a student is getting on, provide support and manage the course.
We do not use students’ learning information to send them advertising or marketing.
3. Live classes and recordings
Our live tutoring classes and consultations use Zoom.
Some classes may be recorded when this is reasonably necessary for safeguarding, dealing with an incident or providing a catch-up resource for a student who could not attend.
A recording could include a student’s name, voice, image, questions, answers, or other contributions made during the class.
If a recording is used for catch-up, it may be uploaded to YouTube as an unlisted video and embedded into our website or online learning platform. An unlisted video is not normally searchable on YouTube, but anyone who has the link may potentially be able to watch it.
We only keep recordings for as long as we reasonably need them for the reason they were recorded, unless there is a safeguarding, legal or other important reason to keep them for longer.
Our consultation booking system, Calendly, is connected to Zoom. When a parent books a consultation, Zoom automatically creates the meeting and the Zoom link is included in the booking information.
4. Keeping students safe
Keeping students safe is extremely important to us.
Sometimes a parent or student may tell us something about a student’s safety or wellbeing. We may also become aware of a concern during a class.
If we are concerned about a student’s safety, we may need to record or share information with the appropriate people so that we can help keep the student or someone else safe.

5. Marketing emails
We may send emails to parents and potential customers about Sullivan Tutor Academy, our tutoring services and educational resources.
Where we need your consent to send marketing emails, we ask you to actively agree to receive them. Our forms include a checkbox, and we may also use a double opt-in process where you confirm your email address.
Every marketing email includes an easy way to unsubscribe. You can stop receiving marketing emails at any time.
Unsubscribing from marketing emails will not stop us from sending important emails about a course, booking, payment, or other service you are using.
6. Information you choose to give us
Sometimes parents or students may choose to tell us additional information that we have not specifically asked for.
For example, you might tell us about something affecting a student’s education, wellbeing or circumstances.
We will treat this information carefully and only use it when there is a proper reason to do so.
7. Where we keep information
We use a number of services to run Sullivan Tutor Academy. Depending on what you are using our services for, information may be stored in:
- our WordPress website and Tutor LMS;
- Google Workspace, including Gmail and Google Drive;
- Mail Mint;
- Calendly;
- Zoom;
- Stripe and PayPal; and
- other services listed in our full Privacy Policy.
These services help us provide tutoring, manage student accounts and courses, communicate with parents and students, process payments and run our website.

8. How long we keep information
We keep information for as long as we reasonably need it.
How long we keep something depends on what it is and why we need it. For example, we may need to keep payment and financial records for longer because of legal and tax requirements.
A student’s website account may remain available after they stop attending tutoring if the account is still useful for accessing resources or other services. We do not routinely delete accounts simply because a student stops attending.
If someone unsubscribes from our marketing emails, we may keep a small amount of information to make sure we do not accidentally send them marketing emails again.
9. Your privacy rights
Data protection law gives you a number of rights over your personal information.
Depending on the circumstances, you may be able to ask us to:
- show you the information we hold about you;
- correct information that is wrong;
- delete information;
- stop or limit how we use information; or
- stop certain types of processing.
If we are using your consent as the reason for processing your information, you can also withdraw that consent.
